GPCSL Event Proposal Procedure
This proposal procedure describes the actions needed for an activity to occur at GPCSL. Please keep
these items in mind when making a proposal.
All tasks will need to be completed and it is recommended that each person only completes 2 or 3 tasks, therefore, a team is needed. Please address who will complete these tasks in your proposal. Also include the date and time you propose for the activity and if any estimated costs to GPCSL and/or any fee that will be charged to participants (please remember to consider material/workbook fees for classes.)
* Activities not CSL related will be held in LEC with a rental fee. Activities that are GPCSL related can be held in the sanctuary. (A usage fee may apply for A/C or heating and cleaning costs.)
● A written proposal is submitted to the Board of Trustees in paper or electronic form.
● The board reviews, discusses and votes on the proposal at their next scheduled meeting.
● A response is sent to the proposer.
● *IF APPROVED
● Confirm date AND time.
● Determine budget AND address where the funds will come from.
● Create blurb for Announcements and E news.
● Get blurb approved by senior minister (Rev. Steve).
● Senior Minister (Rev. Steve) will send blurb to webmaster (Cara) AND to announcement
coordinator (Jamica).
● Determine supplies needed, create a list including a 'needed by' date.
● Determine what help is needed (i.e. volunteers) AND create a list/sign-up sheet, if needed,
AND put on back counter.
● Create a marketing poster to post/hand out.
● Print, pay for, AND distribute the posters at least 2 weeks prior to event.
● Set up team for the event.
● Clean up team after the event.
● IF NOT APPROVED
● Resubmit your proposal again in 3-6 months (with revisions if necessary)
